RECURRENCE PAGE HELP

The following assumes you have permission to recur appointments. If not, buttons and options may be hidden or disabled.

Overview

The recurrence feature allows you to repeat appointments. A daily, weekly, and monthly recurrence pattern can be selected over a specified date range. For service appointments, if the funding source is set up to not allow service on a specific day, or to generate a warning if a service is scheduled on a specific day, you have an option to skip days that meet one of those conditions.

Date Range

For an existing recurrence series, if the recurrence range start or end date needs to be changed, select the ‘All appointments in series’ option on the appointment General tab. Depending on the date changes made and the recurrence pattern selected, existing appointments may be deleted or new appointments may be added:

If the range start date is changed to an earlier date, additional appointments may be added to the series

Example 1: The recurrence pattern is Every Weekday and Date Range is Mon, 2/12/2018 to Fri, 2/16/2018. Appointments exist in the series for each of those weekdays. The Range Start date is changed to Wed, 2/7/2018. Three new appointments will be created on Feb 7th, 8th, and 9th.

Example 2: The recurrence pattern is Every Weekday and Date Range is Mon, 2/12/2018 to Fri, 2/16/2018. Appointments exist in the series for each of those weekdays. The Range Start date is changed to Sat, 2/10/2018. No new appointments will be created because there are no Weekdays on Feb 10th or 11th.

If the range start date is changed to a later date, existing appointments in the series before the new start date may be deleted.

Example 1: The recurrence pattern is Every Weekday and Date Range is Thu, 2/1/2018 to Fri, 2/16/2018. Appointments exist in the series for each of those weekdays. The Range Start date is changed to Mon, 2/5/2018. The two appointments on Feb 1st and 2nd will be deleted.

Example 2: The recurrence pattern is Every Weekday and Date Range is Thu, 2/1/2018 to Fri, 2/16/2018. Appointments exist in the series for each of those weekdays. The Range Start date is changed to Sat, 2/3/2018. No appointments will be deleted because Feb 3rd and Feb 4th are not weekdays.

If the range end date is changed to a earlier date, existing appointments in the series after the new end date may be deleted.

Example 1: The recurrence pattern is Every Weekday and Date Range is Thu, 2/1/2018 to Fri, 2/16/2018. Appointments exist in the series for each of those weekdays. The Range End date is changed to Fri, 2/9/2018. The five appointments on Feb 12th, 13th, 14th, 15th, and 16th will be deleted.

Example 2: The recurrence pattern is Every Weekday and Date Range is Thu, 2/1/2018 to Fri, 2/16/2018. Appointments exist in the series for each of those weekdays. The Range End date is changed to Sun, 2/18/2018. No appointments will be deleted because Feb 17th and Feb 18th are not weekdays.

If the range end date is changed to a later date, additional appointments may be added to the series.

Example 1: The recurrence pattern is Every Weekday and Date Range is Mon, 2/12/2018 to Fri, 2/16/2018. Appointments exist in the series for each of those weekdays. The Range Etart date is changed to Tue, 2/20/2018. Two new appointments will be created on Feb 19th and 20th.

Example 2: The recurrence pattern is Every Weekday and Date Range is Thu, 2/1/2018 to Fri, 2/16/2018. Appointments exist in the series for each of those weekdays. The Range End date is changed to Sun, 2/18/2018. No appointments will be deleted because Feb 17th and Feb 18th are not weekdays.

# of occurrences

# of occurrences is a display only field. It is the total number of appointments that exist in the recurrence series when the series is created or when existing series’ recurrence pattern and/or date range are changed. When appointments are removed from the series because they have been updated with ‘Only this appointment’ option or because the appointment has been deleted the # of occurrences field is not recalculated.

Skip Funding Source disallowed or warned days

If the option to skip Funding Source disallowed or warned days is selected when a recurrence series is created, changing the series to subsequently include disallowed or warned days will not add appointment falling on those days to the recurrence series. It is recommended to create standalone appointments for the disallowed/warned days in this event.

Delete

The Delete button is only enabled with the ‘All appointment is series’ option. It will delete the existing appointment and all other appointments in the series. Please note that appointments that were previously in the series and were removed because the appointment was updated will not be deleted with this action. If you do not want to delete all appointments but rather delete appointments at the beginning or the end of the series, then update the range start or end date(s).
